Analyze Scheduled vs. Actual Appointment Durations to Improve Scheduling Efficiency

Discover how to compare scheduled appointment durations with actual visit times to optimize scheduling, reduce delays, and improve practice efficiency.

Overview

The Appointment Cycles dashboard analyzes the full lifecycle of appointments, comparing scheduled durations (from your EMR system) with actual estimated appointment cycle times. To ensure data accuracy, only appointments lasting between 1 and 240 minutes are included.

Key Metrics

  • Average Appointment Duration: A comparison of scheduled vs. actual appointment lengths. 

  • Visits Completed Counted: The number of appointments that met filtering criteria.

Appointment Duration Filtering

To provide flexible analysis, the report allows four different ways to define appointment duration:

  • Entire Including Checkout: The appointment cycle starting with Check In Start and ending with Check Out End.

  • Entire Excluding Checkout: The appointment cycle starting with Check In Start and ending with Exam End.

  • In Exam Room: The time the patient is in the exam room during the appointment.

  • With Provider: The amount of time a patient is with a provider during the appointment.

Filtering Criteria: Durations for filtering are defined as the time between time_check_in_start and the earliest detectable timestamp among time_exam_ends, time_check_out_start, time_check_out_end, and time_encounter_checked_out.
