Understanding the Appointment Durations Dashboard

Analyze appointment duration patterns to optimize scheduling, reduce delays, and improve operational efficiency.

Overview

The Appointment Durations Dashboard in DOCPACE® Insights provides a detailed view of appointment durations, encounter state durations, and trends over time. Users can analyze hourly, daily, and monthly data while applying filters for a more refined view.

 

 

Please Note: This dashboard has been renamed since the making of this video. The Delivery Analytics are now the Appointment Durations Dashboard. 


Setting Date Ranges and Comparing Data

  • Use the Month-to-Date filter to analyze trends within the current month.

  • Set an Anchor Date (e.g., March 31st) to compare full months and observe changes over time.

  • Adjust views to compare data by day, week, month, or year.

Workflow and Timestamp Filters

  • Choose between:

    • Clean Durations (filters out missing timestamps and duration outliers)

    • Actual Durations (displays all collected data without filtering)

  • Switching between these views helps identify outliers that may impact reported data.

Encounter State Breakdown

  • Apply quick filters to analyze specific encounter states, including:

    • Total Visit Duration

    • Checkout Excluded (DOCPACE® Default)

    • Exam Room Time

    • Waiting Room Time

    • Waiting for Provider Time

  • Selecting a specific state (e.g., Exam Room Time) changes reported metrics and trend analysis.


Summary of Trends

  • Analyze department, provider, and appointment type trends to identify:

    • The biggest increases and decreases in duration

    • The highest and lowest reported times

    • Prior period comparisons (e.g., February vs. March trends)

  • Example: A provider with a 174% increase in exam room time compared to the prior month may require attention.

Visit Duration Breakdown

  • Provides insights into:

    • Date-based trends (e.g., weekday vs. weekend performance)

    • Hourly variations (e.g., peak appointment times)

  • Customize data display by adjusting filters and viewing wait times or total visit duration.

Wait Time Comparison

  • Compare individual days against historical data to detect scheduling inefficiencies.

  • Example: If April 16th’s total visit duration is higher than average, users can compare it to other similar days.

Hourly Visit Analysis

  • Displays total visits per hour, including:

    • Patient volume at each hour of the day

    • Total visit duration comparisons

    • Performance against typical averages (e.g., comparing an average Tuesday to past Tuesdays in April)
