Build a Report in DOCPACE® Insights

Learn how to create custom reports in DOCPACE® Insights to track key metrics and make data-driven decisions.

Introduction

The Report Builder in DOCPACE® Insights enables users to generate and customize reports based on specific datasets. This guide provides step-by-step instructions on how to build, filter, and export reports for operational insights and data-driven decision-making.

 

Accessing the Report Builder

  • The Report Builder is available on multiple dashboards across DOCPACE® Insights.

  • Reports are unique to the dashboard, page, and filters applied when accessing the tool.

Example:

  • Clinic Volumes: Generates a report on schedule outcomes.

  • Patients: Produces a report on patient demographics.

Building a Report

Step 1: Select Data

  1. Open the Report Builder from the desired dashboard.

  2. Confirm the Date Range (e.g., last November to today).

  3. Choose how to categorize and visualize the data (e.g., Daily vs. Monthly View).

Step 2: Apply Filters

  • Filters allow for more refined reporting based on specific parameters.

  • Examples:

    • Appointment Type: Focus on new patients, virtual visits, or follow-ups.

    • Provider: Generate reports for a single provider or department.

    • Payer Mix: View breakdowns by insurance category, such as Medicare.

Step 3: Generate and Download Report

  1. Click Generate CSV.

  2. Select either Excel or CSV format.

  3. Download the report for further analysis or sharing.

Unique Report Filters

  • Each report type has unique filters based on the data category.

  • Example:

    • Clinic Volumes: Filters by Established vs. New Patients.

    • Patients: Filters by Payor Category.

Subscriptions and Automated Reporting

  • Users can subscribe to reports to receive scheduled deliveries via email.

Viewing Underlying Data

  • This feature enables users to generate reports directly from data visualizations.

  • Clicking View Underlying Data will instantly build a report based on selected filters.

Example:

  • Selecting a specific month’s appointment retention bar in the Growth Dashboard will create a detailed retention report for that month.

  • Clicking on a provider’s new patient count will generate a targeted report for their intake data.

Report Examples by Dashboard

Patient Demographics

  • Generate reports on age distribution, payer mix, and primary languages.

  • Example: Create a Medicare-specific report by filtering for Medicare patients.

Adherence Dashboard

  • Track chronic no-show patients and scheduling adherence trends.

  • Example: Generate a report identifying patients with frequent no-shows.

Late Patient Analysis

  1. Set time categories for late arrivals.

  2. Use Report Builder to analyze patient punctuality.

  3. Generate a report identifying high-risk late arrivals for targeted intervention.

Best Practices

  • Clearly define report objectives to ensure relevant data selection.

  • Use filters effectively to refine reports and eliminate irrelevant data.

  • Schedule recurring reports via subscriptions for automated analysis.

  • Compare trends across different time frames (daily, weekly, monthly) for performance tracking.
