Changing Departments, Appointment Types, Providers, Freeze, or Delete Slots in the Staff Calendar
This guide provides instructions on how to perform various actions in the staff calendar, including changing departments, appointment types, providers, freezing or deleting slots, and adding new appointment slots.

View a List of Appointments
To view a list of appointments in the staff calendar, follow these steps:
- Click on "Calendar.
- Click on "Staff Calendar."
- Select the desired provider you would like to filter.
- Click on "View Calendar."
- Apply filters such as department, date range, time range, appointment type, and day of the week to refine the list of appointments.
To change the provider for one or more appointment slots, follow these steps:
- View the list of appointments as described in step 1.
- Select the appointment slots you want to modify or choose "Select All."
- Click on the option to change the provider.
- Verify the availability of the new provider.
- Confirm the changes and ensure there are no conflicts or double bookings.
Change the Appointment Type for Appointment Slots:
To change the appointment type for one or more appointment slots, follow these steps:
- View the list of appointments as described in step 1.
- Select the appointment slots you want to modify or choose "Select All."
- Click on the option to change the appointment type.
- Choose the desired new appointment type.
- Optionally, select the option to include booked slots if you want to change the appointment type for filled slots as well.
- Confirm the changes and review any automated messaging or notifications that will be sent to patients.
Delete/Cancel Appointment Slots
To delete or cancel appointment slots, follow these steps:
- View the list of appointments as described in step 1.
- Select the appointment slots you want to delete or cancel.
- Choose the option to delete or cancel slots.
- Verify the deletion or cancellation request and confirm the action.
- The canceled slots will be marked as requiring rescheduling, and a list of affected appointments can be accessed from the Workflow Dashboard.
Freeze and Unfreeze Appointment Slots
To freeze or unfreeze appointment slots, follow these steps:
- View the list of appointments as described in step 1.
- Select the appointment slots you want to freeze or unfreeze.
- Choose the option to freeze or unfreeze slots.
- Verify the freezing or unfreezing request and confirm the action.
- Frozen slots will become unavailable for scheduling and cannot be double-booked.
Add a New Appointment Slot
To add a new appointment slot, follow these steps:
- Click on "Calendar."
- Click on "Staff Calendar."
- Select the desired department.
- Choose the scheduled/rendering provider for the appointment slot.
- Select the appointment type.
- Enter the date and start time of the appointment slot.
- Specify the duration of the appointment slot.
- Verify the details and confirm the addition of the new slot.
Note:
- Always review the appointment list and double-check changes before applying them.
- Exercise caution when changing departments or providers, as it can lead to double bookings or loss of appointment information.
- Ensure the availability of providers before changing appointment slots.
- When rescheduling filled appointments, review automated messaging or notifications that will be sent to patients.
- Freezing slots prevents scheduling and double-bookings, while unfreezing makes slots available again.
- Keep in mind that deleting or canceling slots will require rescheduling for affected appointments.
