Manage Patient Status on DrChat

Update and track patient status in DrChat to ensure accurate records and streamlined communication.

Introduction

DrChat enables healthcare providers to manage patient communication efficiently. This guide outlines best practices for creating, enrolling, and engaging patients effectively within the platform.

 


1. Patient Creation (Add a Patient)

When patients are added to DrChat, they are assigned a Pending status until they are enrolled. Patients can be created through the following methods:

Automatic - EMR Import

  • Patients are automatically imported from the integrated Electronic Medical Records (EMR) system.

  • The status of these patients is initially set to Pending until enrollment is confirmed.

Semi-Automatic - Spreadsheet Import

  • Patients can be imported in bulk using a spreadsheet upload.

  • After import, patients appear in the Pending status until they are manually enrolled.

Manual - Patient Add Feature

  • Patients can be added manually using the Add Patient feature in DrChat.

  • Manually added patients are also assigned a Pending status until enrollment is processed.


2. Patient Enrollment (Enroll / Un-Enroll a Patient)

Patients must be enrolled to actively use DrChat for secure messaging.

Enrollment Process

  • Patients included in DrChat will have a Status: Enrolled.

  • Patients can be auto-adjudicated from the EMR import or adjusted manually by a provider.

  • Patients who are not selected for enrollment remain in Pending status in the DrChat dashboard.

  • Patients whose access is removed are assigned Status: Un-Enrolled.

Un-Enrolling a Patient

  • If a patient no longer needs access, they can be un-enrolled, returning them to an inactive status.

  • Un-enrolled patients will no longer have access to DrChat services.


3. Patient Engagement

DrChat includes optional SMS notifications to enhance patient engagement by guiding them through the enrollment process.

SMS Welcome Message

  • Upon enrollment, patients may receive an SMS with a configurable welcome message and a link to download the DrChat app.

  • If an SMS has not been sent, the status appears as (SMS Status: Not Sent) - Gray

  • If at least one SMS has been sent, the status appears as (SMS Status: Sent) - Blue

  • Additional SMS reminders can be sent by clicking the SMS bubble next to the patient’s name.

Patient Invitation Status

Once enrolled, patients will automatically receive an in-app invitation to join DrChat.

Invite Status Description Icon
No Response The patient has not taken any action  
Declined The patient actively declined DrChat messaging  
Active The patient accepted the invitation and is using DrChat
