Setup Subscriptions and Alerts on DOCPACE® Insights

Overview

DOCPACE® Insights allows users to automate data delivery through subscriptions and set up alerts to receive notifications when specific thresholds are met. This guide walks through setting up subscriptions for regular reports and requesting alerts for key metrics.

Setting Up a Subscription

Subscriptions allow users to receive automated reports via email. Follow these steps to set up a subscription:

1. Choose a Report

• Navigate to the report or view you want to subscribe to.

• Example: The Practice Overview provides a monthly summary of practice performance.

2. Apply Filters and Select a View

• Set filters as needed.

• Choose between subscribing to the current view or the entire workbook.

• Select the desired file format: Image, PDF, or both.

3. Customize the Email

• Set a subject line (e.g., "Department Summary - Monthly Review").

• Add department names or key details in the email message body for clarity.

4. Set the Delivery Schedule

• Choose the frequency:

  • Monthly – For month-to-month comparisons, select the last day of the month.

  • Daily – Ideal for reports like the Daily Clinic Review, which summarizes the previous day's schedule outcomes.

  • Weekly – Useful for reports like the Chronic No-Show Report, which provides an overview of at-risk patients for upcoming appointments.

• Set the time (in military format) for email delivery.

• Click Subscribe to confirm.

5. Manage Your Subscriptions

• Go to Manage Subscription to edit or delete existing subscriptions.

• Modify the schedule or report view as needed.

Setting Up Alerts

Alerts notify users when a specific metric exceeds a defined threshold. Since alerts require custom calculations, DOCPACE® will configure them upon request.

1. Define the Metric and Threshold

• Example: No-Show Rate Alert

  • Request an alert if the no-show rate exceeds 10%.

• Other examples:

  • Completed visits falling below a set number.

  • Tracking new patient volume.

  • Monitoring specific appointment types.

2. Request an Alert Setup

• Email insights@docpace.com with your alert request.

• Include details such as the metric, threshold, and notification timeline.

• DOCPACE® will configure the alert, and you will receive an email notification when the threshold is met.
