Understanding the Template View Dashboard

Analyze provider schedules and slot utilization in DOCPACE® Insights to maximize efficiency and optimize appointment availability.

Introduction

The Template View Dashboard in DOCPACE® Insights provides an overview of schedule templates, appointment durations, appointment density, slot utilization, and open slots. This guide will help you navigate the dashboard, apply filters, and leverage insights for optimized scheduling and resource allocation.

 

Please Note: This dashboard has been renamed since the making of this video. The Provider Summaries are now the Template View Dashboard. 

Key Features

Schedule Durations

  • Appointments are categorized into five duration-based colors:

    • Green – 15 minutes or less

    • Blue – 15 to 30 minutes

    • Pink – 30 to 60 minutes

    • Purple – 60 minutes or more

    • Yellow – Open slots

Data Fetching

  • DOCPACE® Insights does not update in real time due to large data volumes.

  • Updates occur overnight, with the latest update timestamp available at the bottom left of the Provider Summary page.

Filter Date

  • Users can view:

    • Current week

    • Prior weeks

    • Two upcoming weeks

  • Select an individual day within a week to filter accordingly.

Schedule Views

  • Top View: Highlights appointment durations.

  • Bottom View: Emphasizes schedule density.

Slot Analysis

Include All Appointment Types

  • Yes: Expands view to show all appointment types.

  • No: Consolidates less frequent appointment types into an “Other” category.

Slots Overview

  • Slots | Open: Displays past, present, and future open appointment slots.

    • Tip: Filtering by Department, Provider, or Appointment Type may improve accuracy.

  • Slots | Total: Total number of appointment slots, including both open and filled slots.

  • Slot | Utilization: Percentage of appointment slots filled within a selected date range.

DOCPACE® is actively expanding its API set for Open and Frozen Slots. For any inquiries, please contact the DOCPACE® Customer Support team.

Integrating with Other Dashboards

  • Provider Summary & Other Data

    • Best used alongside the Growth, Delivery, and Adherence Calendar Views.

    • Recommended visualization: Weekday & Hour.

    • Use cases:

      • Identify when specific appointments have the shortest total cycle.

      • Predict when walk-in patients are most frequent.

      • Analyze no-show probability based on schedule patterns.

Best Practices

  • Check the latest update timestamp before making decisions based on recent data.

  • Use slot utilization metrics to optimize scheduling efficiency.

  • Combine this view with other dashboards to uncover deeper operational insights.

  • Filter appointment types wisely to ensure clarity in schedule utilization analysis.
