Track Patient Arrival Times to Optimize Scheduling & Reduce Wait Times

Understand patient arrival patterns to minimize wait times, enhance scheduling accuracy, and improve overall clinic efficiency.

Overview

The Patient Arrival Time dashboard tracks when patients arrive in relation to their scheduled time, helping optimize scheduling and reduce wait times.

Key Metrics

  • Early vs. On-Time vs. Late Arrivals: Categorizes patient arrivals.

  • Average Patient Wait Time: Measures the time between arrival and being seen.

  • Peak Arrival Trends: Identifies high-traffic periods.

Arrival Time Categories

  • Early Arrival: Patients arriving 20 minutes or more before their scheduled appointment time.

  • Late Arrival: Patients arriving 15 minutes or less after their scheduled appointment time.

  • Very Late Arrival: Patients arriving more than 15 minutes after their scheduled appointment time.

Calculation Method

  • For in-person visits, arrival time variance is calculated between Time Check In Start and Time Scheduled timestamps.

  • For virtual visits, variance is calculated between Time Check In End and Time Scheduled timestamps.

How to Use It

  • Adjust scheduling buffers to minimize patient wait times.

  • Identify patterns of late arrivals and adjust reminder strategies.

  • Improve operational flow to reduce congestion.
