Understanding the Working Hours Dashboard

Monitor provider workloads, assess staffing efficiency, and optimize scheduling for better resource management.

Introduction

The Working Hours Dashboard in DOCPACE® Insights provides a detailed review of completed visits, visit completion averages, cancelations, provider schedules, and working hours. This guide outlines key metrics and tools to help you optimize provider working hours and scheduling efficiency.

 

Please Note: This dashboard has been renamed since the making of this video. The Productivity Analytics are now found in the Working Hours Dashboard. 


Key Metrics and Definitions

Working Hours Overview

  • Tracks:

    • Average Visits Per Day

    • Throughput Rate (Average Visits Per Hour)

    • Provider Working Hours

    • Days Active

    • Provider Cancelations

Choose Grouping

  • Allows users to determine how averages are calculated.

  • Grouping options:

    • Organization

    • Department

    • Provider

    • Appointment Type

  • Example: Grouping by Provider will display the Average Visits Per Day and Per Hour for the selected providers.

Visits Per Day

  • Measures the average completed visits per day based on:

    • Selected Grouping

    • Date Range

    • Filters

  • The Include/Exclude Weekends option helps clarify this metric.

Throughput Rate

  • Measures the average completed visits per hour based on:

    • Selected Grouping

    • Date Range

    • Filters


Provider Schedule Insights

Working Hours

  • Total hours a provider is scheduled for within the selected date range.

  • Calculation:

    • Time between the first detected Exam Start and the last Exam End of each day.

    • Example: First Exam Start at 9 AM and Last Exam End at 5 PM8 Provider Working Hours.

Days Active

  • Counts all days containing at least one completed visit in the selected date range.

  • Days without completed visits do not count as active days and do not influence averages.

  • Example:

    • Weekends included

    • Completed visits Monday-Saturday

    • Days Active = 6

    • Active Days used in Daily Averages = 6

Provider Hours (Visualization)

  • Displays Working Hours in a calendar view.

  • Defaults to the prior active day with a comparison to the prior week.

  • Individual Days:

    • Display total hours worked per day.

    • Bar graph aggregates total hours worked over the selected period.

Individual Day Tool Tip

  • Hovering over a specific day will display:

    • Exact Start and End times

    • Total working hours

    • Total visits completed


Data Quality Considerations

Data Cleaning Process

  • To ensure accuracy, DOCPACE® applies data cleaning to exclude unreliable metrics.

  • Exclusions:

    • Visits shorter than 0 minutes or longer than 240 minutes.

    • Visits missing an Exam Start or End timestamp.

  • Data Quality Summary:

    • Tooltips provide details on data impactors.


Best Practices for Optimizing Working Hours

  • Use the Grouping feature to analyze provider, department, and organization-level working hours.

  • Monitor throughput rate to optimize scheduling and provider efficiency.

  • Leverage the Provider Hours view to identify workload distribution trends.

  • Ensure data quality by reviewing flagged metrics in the Data Quality Summary.

  • Use historical comparisons to detect patterns and make data-driven staffing decisions.
